How do I log into online courses?
Go to lms.saskDLC.online enter your @saskdlc.ca username and password. If you do not know your @saskDLC.ca credentials, contact your teacher or your school administration. Click the Log in button

What is the dashboard?
The DLC dashboard is the first page you will see once you log into DLCgo.ca. The dashboard's purpose is to give you a quick overview of information. You can customize your dashboard to your preference.

What is a mentor role in DLCgo?
A mentor in DLCgo can be any educational assistant, librarian, secretary, etc who monitors the progress of a student taking a DLC course. Mentors can see what courses their students are enrolled in and help with course selection and pacing.

How do I see student enrollments?
Note: these pages are not to be confused with the Enrollments Tab. The Current Enrollments Pages exist in many places and act as a collation of enrollment data. It typically focuses more on success (grades), and administrative information (start/end dates). Here are the places that you can access a Current Enrollments page. Note that each of these pages is the same, but displays slightly different data based on how you got there: Teacher Profile: Displays all of the teacher’s enrollments (all sections and terms). Student Profile: Displays all of the student’s enrollments. Teachers will find the most bang for their buck in the Teacher Profile’s Current Enrollments simply because it displays the most data, and you can organize it by section, course, or by student.

DLCgo Teacher Role Training
What is the DLCgo SIS (Student Information System) DLGgo is replacing our current registration system, but not replacing Power School. Along with a new online registration form, DLCgo will also provide: Integration with Online courses Direct links to online courses. Enroll students in online courses when course requests are approved. This means students no longer get enrollment keys Grades are pulled periodically from the online course(s) to DLCgo Offline Grade book for courses that do not have Online Course submissions. Access to more student data, including: Historic courses taken through the DLC. Current courses, teachers, grades, and pacing Communication log for various types of communication tracking, including phone calls. Ability for bulk communication with your students through: Custom emails created by you can be personalized for each student in a manner of clicks Templates created for all that are personalized for each student DLCgo comes in two forms: production and staging. Production is our live site that contains real student data, grades, communications,etc. Staging is the testing site that we can use to try features out before using them on production. We will be training in staging. Production URL: http://www.dlcgo.ca/ Staging URL: https://sunwestsandbox.geniussis.com/PublicWelcome.aspx The Flow of a Registration A new student would follow the pattern below: Arrive at the catalog Choose courses and click the register Complete the short form. This is a form that collects minimal information so they feel they are progressing. Should they drop off at some point during the process, we can communicate with them at any step in the process and provide the support they need to continue. Confirm course selections and confirm/choose start and end dates Go to email inbox to retrieve username and password Log into DLCgo. Complete the long form (no link - inside DLCgo). The long form is the rest of the application, which contains much more data including places to upload documentation ( like a birth certificate or ed psych documentation). Wait for approval from DLC Front Office or Admin. Access courses Have life changed A student who already has an account can bypass the external catalog linked above. They can log into DLCgo, request courses from the catalog within DLCgo, and then wait for courses to be approved. Courses are approved by our FOS for full-time DLC students and adults, or by EAs/Admin if they attend a school If an EA or an Admin logs into DLCgo and requests a course for a student, the course is automatically approved and the student can gets access to the course right away How do I log in? You can log into the DLCgo staging site by following the link below and using your username and password: Link: https://sunwestsandbox.geniussis.com/PublicWelcome.aspx Username: firstname.lastname Password: first name as it appears in your email address. How to change your password: Method 1: In the DLCgo Tab, click "Edit Account" in your Actions Menu Method 2: On any page, click the Settings button in the top right of the window: What happens when I get a new student? you will be notified that you have a new student To see your notifications Click the DLCgo Tab. This will take you to your Dashboard View your notifications in the Notifications Pane under the pie graphs on the left side of the Dashboard: How do I view my students? To view your students, you can either go to the Students Tab or the Enrollments Tab. Students Tab The Students Tab allows teachers to interact with their students as a group, or individually. You can send bulk emails to the entire class or to select groups, as well as drill down to an individual student and see progress and activity metrics for all courses. You can customize the fields that you see by clicking the Customize Columns button in the top of the chart: The Affiliation Column will tell you the type of student you have: Sask DLC Under 22 = full-time DLC under 22 years old, no payment. Sask DLC Over 22 = adult, paying student Home-Based - home-based, non-DLC School Name = student attends this school. To view student details, click on a student's name. From here, you can edit student information, see the student dashboard, see what resources they have, view historical data, and more ***NOTE: All teachers for a student will be able to see all communications sent through DLCgo. To Bulk Email 1. Click on the Bulk Emails link in your Actions Menu: 2. Use the filters to narrow down your criteria then click Get Data. Of you want to email all of your students, skip the filters and click the Get Data button 3. Select the students you wish to communicate with, then click the Email Button Enrollments Tab The top of this page will give you filters that you can use to create custom lists of students in all, or specific courses, meeting specific or general criteria. For example, if you want to see all of your students, you would simply click the Get Data button without changing any of the filters. However, if you only want a specific course, then you will need to change the Course dropdown menu regardless of the type of view, a student will show up multiple times if they are enrolled in multiple courses you teach. Here, you can customize your tables using the Customize Columns button in the top right of the chart. The two main functions here are Emails and Auto-emails Emails: To send an email to a list of students: 1. Set the criteria for your list. For example, any student that is from Beechy School. 2. Click Get Data 3. Once the table of the student data is populated below the criteria, click on the Emails button in your Actions Menu: 4. At the top of the Email screen, you will see a verification that you are about to communicate to x number of students. 5. If applicable, select a Template. A template is a globally defined communication that has variables pre-selected in the communication. If you would like to communicate without a template, do not select anything from the Template drop-down menu. 6. Fill in or confirm the subject line. Templates come with pre-determined subject lines 7. Choose any applicable attachments. Remember that this same attachment will go to the students in your selected list. 8. select who you want the communication to go to. 9. Confirm, create, or alter the body text. You can change or add variables using the variables drop-down in the body's editor: 10. View the sample below the body. If you made changes in the body, click the update sample button. 11. In the Step 2 box, select how frequently you would like the email to be generated 12. Fill in the Name of your Auto Emails.. This is how your email will be named in your list of Auto Emails. 13. In the Step 3 box, save the Auto Email. Once you click save, the email will be generated based on the frequency you choose. To view your Auto Emails, click the Auto Emails button in the Action Menu Mentor tab We will be referring to DLC EAs and other school supports as Mentors. This tab will give you a list of all Mentors as indicated by each school, along with their contact information Sections Tab This will give you a list of all of the sections of the courses you teach. When you click on a section, you will see a table of enrollments in the section containing the student's start and end date, their grade, and the number of assignments they have completed. From here, you can click Dashboard in the Actions menu to see more data about the section. You can also add events to your Calendar from the Actions Menu Affiliations Tab This will give you a list of all of the schools in the province as well as their principal's name and their school division. If you click on a school you will also get information regarding their Mentors (Main Page in the Action Menu) and view their Dashboard (from the Action Menu). Messages Tab DLCgo houses an internal messaging system. However, because we will be still using email and online courses as primary communication tools, we want to make sure that we send these messages as emails. Here are the steps to sending an email in the Messages Tab: In the To: field, write the name of the student that you would like to send an email to. Keep in mind that you cannot send to parents this way Check the box to send a copy to the student's email inbox Fill in the Subject Line Write the body of the email Click send

Click the Register button at the bottom of the catalog. This may take a moment to process, so please do not click twice Step 03: Select the student's start and end dates Choose a start date for each course. Note: Students will not get access to the course until 2 days prior to the start date. If you need to change the section the course is offered click the Change Courses button and select a different option in the When Offered filter The start date and end date are populated based on the term you selected in the when offered dropdown in the catalog. If you need to change these start dates, continue with the rest of these steps, then phone our front office or email registrations@saskdlc.ca with the student’s name, course name, and the start/end dates you need. If the student attends a school outside of Sask DLC, select a Payee. If School Division is chosen then an invoice will be generated. If the Student, parent, etc. or third party is selected then there is a credit card option. Note: There is a processing fee of $15.24 per course for credit card transactions Click on the Confirm button Step 04: Approve the Course Request Click on the Reports tab at the top of the screen In the left-hand menu, click on Request a Course Here you will see all course requests for students in your school. Select the courses you would like to approve by checking the boxes next to the student's name Click the Approve Selected button at the bottom of the list

How do I reset a students password?
Method 1 Get to the student's profile by searching for them: Student's Tab, find the student, click on the student, or using the top right search bar Click the blue Reset Password button. This will trigger an email to the student with instructions on how to change their password. Method 2 The student should go to DLCgo.ca Click the "Forgot Password?" button. From there, they can put their DLCgo username in or their email address. An email will trigger letting them know their password

K-9 Inactive Student Process
Teachers will have control of phasing their students. Monthly reminders will be sent out to look at your students and decide what phase they should be in. The phase emails are sent by Aaron on the last Wednesday of each month. The original Phase 1 which was done by teacher reminders and phone calls will not be part of the ‘disciplinary’ phases. (Our high school made this change as well.) The teacher is responsible for communicating with the family, encouraging the student to do the Orientation, get started in the courses, submit assignments, and to work with the student to create a plan. If the student/family has not engaged in their learning and the teacher is very concerned the student is behind, the student should be entered into the Phase Process. It is a good idea to check to see if the student has siblings before phasing the student. If so, communicate with the sibling’s teacher to see if the situations are the same. We want to be fairly consistent with phasing, so students are treated the same (especially in the same family.) Phase dates are the last Wednesday of the month to coincide with high school time. A further explanation of how the phases are activated and a copy of the emails follow. Phase 1 - Inactive Teacher labels student K-9 Inactive 1 in DLCgo. On the last Wednesday of the month an email will go out to the family from Admin. (Aaron makes this happen.) This email will inform the student they are behind and to contact their teacher immediately or they will be restricted. Phase 1: “Principal’s Office Subject Line: [First Name][Last Name] is Inactive Dear Parent/Guardian, Your teacher [TEACHER_NAME] has made numerous attempts to contact you to discuss options for [NAME]'s educational plan. There has been inadequate improvement in communication and/or submissions. Unless your child begins to work diligently on a regular basis [NAME] is unlikely to finish in the time originally indicated. Please contact the teacher immediately or access will be temporarily restricted until an educational plan has been put in place. We look forward to working together to help [NAME] successfully complete on time. [TEACHER_NAME] can be reached by email at [TEACHER_EMAIL] or by calling the school at (306) 252-1000. Sincerely, DLC Administration Cc: File Phase 2 – Restricted Consult Admin before moving to this phase. On a reminder day, after consulting with Admin, the teacher may move a student from Phase 1 to Phase 2 which would restrict their access, and ask them to contact Admin to make a plan to return. Aaron activates the email. If Admin receives communication, and restrictions are lifted, the student will be reinstated, and the teacher will reactivate them in the course. Phase 2: “Suspended” Subject Line: [First Name][Last Name] has been restricted Dear Parent/Guardian In previous communications, you were invited to contact [NAME]’s teacher(s) to put an educational plan in place to complete their DLC course(s). We have either not received a plan or your child has not followed through with the submitted plan. As a result, [NAME]’s access has been restricted until you contact Melanie Kerpan or Arlene Low by phoning (306) 252-1000 or emailing melanie.kerpan@sunwestsd.ca or arlene.low@sunwestsd.ca to put an educational plan in place. Please do this within the next couple of days of this dated email. Our expectation is that our students engage in their education by regularly submitting work and communicating with teachers. Within the next two weeks you must have a working plan approved by your teacher and be working on this plan or your child will be withdrawn from the Distance Learning Centre. Should your child be withdrawn, your geographical school division will be notified that your child is no longer a student at the DLC. We hope to hear from you in order to have these restrictions lifted and forward to discussing options for future success at the DLC. Sincerely, DLC Administration Cc: File Phase 3 - Withdrawn If there is no communication from the family, the student is automatically moved from Phase 2 to Phase 3 where the student would be withdrawn from the grade/courses. The teacher would receive confirmation of this in a ‘Dropped” email. It is important to know that this happens automatically, so if you don’t want the student to be withdrawn, you need to go in to DLCgo and change the phase before the deadline last Wednesday of the month. Phase 3: “Expelled” Subject Line: [First Name][Last Name] has been withdrawn Dear Parent/Guardian, This email is to inform you that [NAME] has been withdrawn from the DLC due to inactivity. [NAME] will no longer be able to access DLC teachers or resources. Section 156 (1) of the Education Act states that "every parent, guardian or other person having charge of a pupil who is of compulsory age shall take all steps that are necessary to ensure regular attendance of that pupil". Compulsory age of attendance is up to age 16. Section 150 (3) of the Education Act states that every pupil shall attend school regularly and punctually and be diligent in his or her studies. In distance education, this means regular communication and regular submission of school work is required. [NAME] has not fulfilled these requirements. Your geographical school division will be notified that your child is no longer a student at the DLC. Sincerely, DLC Admin Cc: File Appendix Explanation Emailed to Families to Inform them of the Phase Process Early in the Year. Student success in an online course comes through regular submission of course work (evidence of learning) and communication with their teacher. Students who do not submit coursework in a timely fashion and/or have not been in contact with their teacher are considered ‘inactive’. To ensure the best opportunity for our students to complete their grade on time, we have a process to help students be active, stay on track, and deal with concerns when they get off track. Our phasing process has four steps. 1. If a teacher has not heard from, or has not received submissions from a student for a period of approximately four weeks, the teacher will contact the family to check in and see if there may be issues or barriers to submitting school work. 2. If the teacher still does not hear from the family over the following 2 – 4 weeks, they will list the student with the office as ‘inactive,’ and parents/guardians will receive an email from DLC Admin stating that the family must contact the teacher immediately, or access to courses will be temporarily restricted until an educational plan has been put in place. 3. If there is still no contact with the teacher, the family will receive an email stating that course access has been restricted until families contact the school and follow through with the educational plan. 4. Finally, if the teacher or the DLC still does not hear from the family, the family will receive an email stating that the student has been dropped from the courses due to inactivity, and will no longer have access to online materials. We understand there may be times when there is a lull or interruptions in schedules at home, so if families cannot get any work in for a time period, please communicate with the teacher(s). We want to make all families aware of this process so there are no surprises. We hope that we will hear from all students regularly, so they have the best possible learning experience. How do i see my completed students in DLCgo?
Click on either the Teacher Tab, Course Tab, or Section Tab Click on either your name, the course name, or the section name based on the tab you chose in #1 In the Navigation Menu, click on the Enrollment History link in the Historic Data pane At the top of this page, you can play with the filters to get the data you need. But the left-hand filter controls the date range, and the right-hand filter controls the status you are looking for. By default, it shows all students who are not active (completed, dropped, etc). So, to see all completed students, choose COMPLETED from the right-hand drop-down.
